By choosing to book a trip with Xtreme Climbers Treks and Expedition Pvt. Ltd. (hereinafter referred to as "The Company"), Registered Company Number 163506/073/074, you are acknowledging your acceptance of the following Terms and Conditions, which include the cancellation policy and limitations of liability. Confirmation of your booking is finalized upon the receipt of a confirmation invoice or email from the Company, indicating the establishment of a contractual relationship between the Company and yourself as the Client. Prior to confirmation, please note that the Company retains the right to make adjustments to brochure prices. However, it does so without assuming any liability beyond what is expressly stated within these Terms and Conditions, including any warranties, collateral agreements, or conditions.
Company Responsibility:
The company bears full responsibility for overseeing the aforementioned services, inclusive and exclusive, provided to our clients. This encompasses making necessary introductions between clients and required support staff for any expedition ranging from MODERATE to XTREME, including but not limited to Climbing Sherpas or Trekking guides. Furthermore, the company is accountable for the comprehensive management of the entire Trek or Expedition, ensuring the delivery of high-quality services to both members and staff, in alignment with the agreement between both parties, namely the Clients and the Organizing Company, and adhering to the specified service list, in the event of emergencies arising during trips involving our clients and staff, XTREME CLIMBER’S commits to being on standby 24*7 to swiftly provide requisite solutions as per the situation.
Clients Responsibility:
XTREME CLIMBER’S absolves itself from liability for any unforeseen incidents resulting from the self-negligence of clients. We strongly advise our clients to prioritize safety, security, and the training imparted during trips ranging from MODERATE to XTREME. For participants embarking on trips in the Himalayas, every client must procure emergency helicopter rescue and medical insurance, with coverage of at least USD $25,000. Additionally, clients are urged to obtain medical and travel insurance for their own safety. We also recommend that all clients secure trip cancellation insurance to mitigate risks associated with unpredictable natural disasters in mountainous regions. While we cannot guarantee immunity from health issues, it is prudent for clients to take proactive measures to safeguard themselves. Any extra services required by clients beyond the included ones will be provided strictly adhering to the specified terms, with additional costs applicable.

Payment Method:
A 40% advance payment is required as a booking confirmation.
The remaining balance of 60% must be settled upon arrival in Kathmandu before commencing the climbing high expedition or any other trip.

Payment via cards is also accepted, with a 4% additional charge for bank processing fees.
Note: Clients are responsible for any bank service charges incurred in relation to submitting a deposit.
Risk and Liabilities:
Upon booking, we kindly request a scanned copy of your passport and a JPEG format passport photo suitable for printing. These documents are necessary for us to obtain your Climbing/Trekking permit and park entry card before your arrival in Kathmandu.
Payment:
We offer several convenient payment methods including bank transfers, online payments, credit card payments, and Western Union transfers. Advance payments are required in accordance with the above conditions. All prices are quoted in U.S. dollars unless otherwise specified. Should the balance of the tour price not be received by Xtreme Climbers within the specified timeframe, immediate notification is necessary and alternative arrangements must be made.
For credit card payments, please contact us directly or follow the procedure outlined below. Currently, in Nepal, we accept Visa or MasterCard. Please note, that a 4% bank levy fee will be applied to the trip price for all credit card transactions.

XTREME CLIMBERS reserves the right to decline to provide services as per the bookings and agreement form in certain circumstances. We might consider last-minute reservations for specific Nepal excursions with a requirement of 50% payment upfront. However, for trips to Tibet and Bhutan, we regret to inform you that we cannot accommodate last-minute bookings.
Amendments:
Should you require alterations to your tour arrangements, we kindly request written notification to XTREME CLIMBER’S. It's important to note that any non-refundable government permits, flight tickets, or insurance already issued will be your responsibility. Additionally, you may incur cancellation fees for any airfares purchased on your behalf.
Cancellation Policy:
Clients are required to submit a written notice of cancellation, including the reasons for cancellation. The cancellation procedure is outlined as follows:
A. Cancellation Policy for Trekking and Hiking Package Tours:
Cancellations made before 45 days of the trip departure date will incur a cancellation fee of 40% of the total trip cost, with the remainder being adjusted for their next trip or refunded after deducting the processing charge of Nepal Rastra Bank (NRB).
Cancellation made 15 days prior to the trip departure date will result in a cancellation fee of 70% of the total trip cost.
Cancellation made within 1 week of the trip departure date will incur an 80% cancellation fee of the total trip cost.
No refund shall be provided for cancellations made within the week of departure or upon arrival in Kathmandu. Any outstanding payment will be required at this time.
B. Cancellation Policy for Peak Climbing and Expeditions:
Cancellations made before 45 days of the trip will result in a 30% cancellation fee.
Cancellations made before 30 days of the trip will incur a 45% cancellation fee of the total trip amount.
Cancellation made before 15 days of the trip will result in a 60% cancellation fee of the total trip amount.
Cancellation made within 07 days of the trip will incur a 75% cancellation fee of the total trip amount.
No refund shall be provided for cancellations made within the week of departure or upon arrival in Kathmandu. Any outstanding payment will be required at this time. The cost of the Climbing Permit, Insurance, and Equipment allowance is non-refundable in any period of cancellation.
C. Cancellation Policy for Air Ticket Purchases:
Cancellations made before 30 days of the ticket departure date will incur a 10% cancellation fee of the total face value, with the remainder being adjusted for their next trip or refunded after deducting the processing charge of Nepal Rastra Bank for drafting.
Cancellation made before 15 days of the ticket departure date will result in a 20% cancellation fee of the total face value. The process remains the same as above.
Cancellation made within the week of departure or upon arrival in Kathmandu will result in a 70% cancellation fee of the total fare value.
No refund will be issued for the deposit amount in the event of trip cancellation for any other reason.
D. Trip Cancellation (Nepal):
Should you wish to cancel your trip for any reason, we kindly request that you provide written notification to us at least 14 days prior to your trip departure date. Trip cancellations will only be approved upon receipt of valid written notice from the client. In the event of genuine reasons such as injury or serious illness, you have the option to postpone your trip or transfer your booking to another individual who meets all trip requirements. However, please note that a fee of USD 150 per person will be applicable if you choose to postpone or transfer your trip within 15 days prior to your trip date. As per our policy, the deposit amount is nonrefundable; however, you may utilize the amount to book a future trip with Xtreme Climbers.
E. Trip Cancellation (Bhutan):
A valid written notice of cancellation must be provided at least 30 days prior to your trip departure date. In the event of canceling your Bhutan tour, a cancellation charge of 20% of the trip cost will be applied (including cases of postponement or transfer of the trip to another person). The remaining amount will be held securely by the XTREME CLIMBER’S Team as a deposit. You may utilize this amount to book a future tour with Xtreme Climbers, as it is non-refundable.
F. Trip Cancellation (Tibet):
A valid written notice of cancellation must be submitted at least 30 days prior to your trip departure date. In case of canceling your Tibet tour, a cancellation charge of 50% of the trip cost will be incurred (including cases of postponement or transfer of the trip to another person). The remaining amount will be held securely by the XTREME CLIMBER’S Team as a deposit. You may utilize this amount to book a future tour with Xtreme Climbers, as it is non-refundable.
G. Trip Booking, Payment, Insurance Process (Pakistan):
Booking & Payment Process:
If you're planning to embark on an adventure with XTREME CLIMBER’S Treks and Expeditions in Pakistan, it is essential to book your trip at least 3 and a half months before the scheduled departure. Clients are required to provide their name and details of the purpose of their visit to the Pakistan government for review and approval for the visa application process, which does not incur any charges. Confirmation of booking must be completed at least 2 months prior to the trip to secure a slot for the expedition or trekking adventure of your choice.
Clients are required to make a payment of 40% of the total trip cost 2 months before the trip commences. This advance payment covers the necessary arrangements for hotel bookings, flights, guides, and porters, and obtaining approval from governmental authorities. The remaining 60% of the total charge should be deposited one month before the scheduled flight to Pakistan.
Insurance:
Adventure entails inherent risks, and mountaineering especially involves potential dangers. Recognizing the unpredictability of travel, we strongly advise all clients to acquire comprehensive travel insurance. In the event of unforeseen circumstances such as injury, family emergencies, or work obligations leading to trip cancellation, having adequate insurance coverage becomes imperative.
As per the Terms and Conditions of XTREME CLIMBERS Treks, the agency cannot be held liable for various expenses arising from emergencies or unforeseen situations. Moreover, foreign nationals are not permitted to purchase insurance in Nepal, highlighting the necessity for clients to obtain comprehensive travel insurance from their place of origin. This insurance should cover trip cancellation, helicopter evacuation, medical emergencies, illnesses, lost luggage, theft, disasters, and other contingencies.
Clients are free to choose their insurer, but it is crucial to select a policy that includes coverage for trip postponement and cancellation, rescue operations, and medical emergencies. Ensure that the insurance policy does not impose limitations on altitude, activities, or destinations. By securing appropriate insurance coverage, clients can embark on their expedition with confidence and focus on their climbing endeavors.
Please remember to provide us with a copy of your insurance policy before commencing your expedition, enabling us to assist you promptly in the event of any emergency.
Note: In Pakistan, advance payment is required for any helicopter rescue flights, which are exclusively conducted by the Pakistan Army. Clients must pay approximately USD 24,000 - USD 26,000 upfront for the flight, with any additional costs refunded later. Depending on weather conditions and documentation requirements, the rescue process may take 2-3 days. However, we strive to expedite the process as much as possible. Therefore, when purchasing insurance, ensure that it covers rescue and medical expenses for trekking and mountaineering activities in Pakistan.
E. Incomplete Tour:
Please be advised that XTREME CLIMBER’S Treks and Expeditions cannot be held liable for any refunds in the event of an incomplete tour, trek, or expedition, regardless of the circumstances originating from the customer's side. It is essential for clients to understand and acknowledge that once a tour, trek, or expedition has commenced, various factors beyond our control may arise, potentially leading to an incomplete journey. As such, we encourage clients to thoroughly consider their commitments and preparedness before embarking on any adventure. While we strive to ensure the utmost satisfaction and safety of our clients throughout their journeys, we regretfully cannot accommodate refund requests for tours or activities that have been interrupted or terminated prematurely. We appreciate your understanding and cooperation in this matter.
Cancellation due to Insufficient Participation:
Xtreme Climbers maintains the prerogative to cancel mountaineering expeditions before departure should there be an insufficient number of climbers or clients booked for a particular trip. In such instances, a full refund of the expedition price will be provided. However, it is important to note that no additional compensation or claims for injury, loss, expenses, or damages (whether direct or consequential) can be sought, nor can compensation be claimed for loss of time or inconvenience resulting from such cancellation. This includes but is not limited to, expenses incurred for visas, passports, vaccinations, gear purchases, airport and airline taxes, and any departure-related costs.
Furthermore, Xtreme Climbers reserves the right to cancel bookings for restricted area trekking in Bhutan or Tibet if the confirmed group size fails to meet the specified requirements. It is important to acknowledge that while we endeavor to operate most trekking and tour packages even with fewer participants than required, certain exceptions may apply to specific destinations or activities as mentioned above.
Aircraft Delay or Cancellation:
It is common to experience flight delays and cancellations, especially in remote areas such as the Everest region, Annapurna region, Dolpo, Simikot, Jumla region, and similar locations, particularly during inclement weather conditions. We strongly recommend travelers carry supplementary funds to cover potential expenses for food and accommodations in the event of delays. Please be aware that Xtreme Climbers cannot assume responsibility for any additional costs incurred. We advise travelers to plan their arrangements accordingly in anticipation of unforeseen circumstances.
Health and Fitness Requirements:
For participation in our adventure activities, excluding cultural, spiritual, or family-level hiking, good health and physical fitness are essential. We strongly recommend that all clients adhere to our pre-departure fitness training guidelines or seek professional fitness guidance. Individuals with severe muscular, chest, heart, or bronchial disorders, as well as severe asthmatics, are strongly advised against participation. Our tours often take place in remote areas with limited access to medical services or hospital facilities for serious health issues. Evacuation, when necessary, can be prolonged, challenging, and costly. Clients are responsible for covering medical and evacuation expenses, thus travel and medical insurance covering air transfer evacuation and hospitalization expenses are mandatory. While we have seen clients in their mid-60s successfully summit peaks like Cho Oyu, Shishapangma, and Manaslu, participation in mountaineering and climbing trips is discouraged for individuals over 70 years of age unless they regularly engage in endurance sports such as long-distance running or triathlons. We reserve the right to deny participation in a tour based on medical or fitness grounds. Our application form includes inquiries about your health status, so we advise consulting your physician and completing the form accurately. If uncertain, we can potentially tailor a custom adventure that aligns with your health needs.
Insurance:
For foreigners traveling in Nepal, having travel insurance is mandatory. While travel insurance is not included in the tour price, it is a prerequisite for booking a tour with Xtreme Climbers. It is your responsibility to ensure that you are adequately insured for the entire duration of the tour, covering medical expenses, illness, injury, death, loss of baggage and personal items, trip cancellation, curtailment, and emergency evacuation.
All costs related to emergency evacuation must be settled in cash in Nepal unless an insurance company has agreed to cover the expenses on your behalf. Any insurance policy obtained to cover emergency evacuation for trekking, touring, or climbing expeditions must not exclude alpinism or mountaineering. Prior to the trip, you must provide our office with evidence that you have obtained personal travel insurance.
Your personal travel insurance should comprehensively cover all activities you plan to undertake in the Himalayas. Please be aware that Xtreme Climbers reserves the right to cancel any trip if you do not possess suitable insurance, including helicopter evacuation for health emergencies or accidents
Health and Vaccinations:
It is ultimately your responsibility to ensure that you are physically fit to participate in our adventure holiday trips. We strongly recommend undergoing a thorough medical and dental checkup before your holiday, and obtaining specific immunizations if required for visiting certain countries. We advise against joining a trip if you have recently experienced severe heart, chest, muscular, or respiratory disorders, severe asthma, or high blood pressure. Please note that medical services may vary from country to country, and companies cannot guarantee the standards of such facilities. However, we assure you that we will prioritize your health and well-being while you are in Nepal, and carry a comprehensive medical kit on all of our trips.
Route changes, Postponement, and Cancellation:
Xtreme Climbers retains the right to:
Cancel or alter any routes or objectives outlined in the itinerary.
Substitute different or equivalent routes within the tour instead of canceled or modified routes.
Postpone, cancel, or delay the tour (including departure or arrival times or the duration of the tour) if deemed necessary due to adverse weather conditions, snow or icy conditions, or any other potentially hazardous circumstances, including political, military, terrorist, or other threatening conditions, or the likelihood of such events occurring which may jeopardize participant safety.
In the event of any changes, modifications, cancellations, postponements, or delays outlined above, you acknowledge and agree that you will not be entitled to a refund of the tour/trekking/mountaineering price, nor will you have the right to claim compensation for any injuries, losses, damages, or additional expenses incurred as a result.
Proof of Citizenship or Information Required to Travel:
You are responsible for obtaining proper identification or proof of citizenship as required by the authorities of the destination you are traveling to. Refunds will not be provided if you are denied boarding or entry on any basis, including but not limited to, inadequate documentation or failure to provide necessary information. International travel regulations stipulate that a valid passport with at least six months remaining before the expiration date is required for travel.
Prices for the Trip:
The package prices provided are determined based on various factors including ground costs, fuel prices, airfares, exchange rates, and assumptions made at the time of the trip price quotation. While Satori Adventures endeavors to minimize any adjustments to tour prices, fluctuations beyond our control may necessitate changes. Satori reserves the right to modify tour prices, or any portion thereof, without prior notice at any time leading up to and including the departure date. These amendments may be required due to factors such as fluctuations in exchange rates, increased fuel costs, airfares, airport charges, enhancements in ground operator service fees, or the necessity to engage alternative air or ground operators. Any price adjustments must be settled before the departure date.
Exclusions from the Tour Price:
The trekking/tour and mountaineering price do not cover the following:
- Personal medical travel insurance.
- Visa and passport fees.
- Any additional meals, transportation, accommodation, or unforeseen expenses not outlined in the itinerary.
- Personal expenses like laundry, postage, personal clothing, medical bills, emergency evacuation, or search charges.
- Extra costs resulting from delays, accidents, or changes to planned itineraries.
- Tips, alcoholic beverages, soft drinks, and excess baggage fees (please consult our tour notes for comprehensive details).
- Mountaineering summit bonuses based on the Nepal Mountaineering and Expedition Operators Association guidelines:
- $500.00 for peaks between 6,500 meters and 6,699 meters.
- $700.00 for all 7,000-meter peaks.
- $1,000.00 for 8,000-meter peaks (excluding Everest, which requires $1,500.00).
Please be aware that this expense is not part of the overall package cost and depends on individual clients successfully reaching the summit. Summit bonuses are paid directly by the client to the Sherpa guide and are applicable only within full board package services.
Unforeseen Circumstances:
In the event that Xtreme Climbers is compelled to cancel your trip due to unforeseen circumstances such as war, natural disasters, conflict, or adverse weather conditions, we are committed to offering you an alternative trip of comparable standard. Should this alternative not align with your preferences, we guarantee a full refund of all payments made to our company.
Publicity Image and Video:
Both Parties (Clients & Xtreme Climbers Treks & Expedition Pvt. Ltd. Company) mutually agree to uphold confidentiality regarding each other's information. Your email and personal details will be utilized solely for processing inquiries, facilitating your trip, and maintaining communication for future interactions.
Xtreme Climbers Treks & Expedition Pvt. Ltd. reserves the right to utilize images captured during the trip for publicity and promotional purposes through various mediums, without providing compensation. We affirm that your personal details and photographs will not be sold or shared with any third party.
By participating in the trip, you consent to Xtreme Climbers' use of images featuring you, taken during the trip, for publicity and promotional endeavors, without any obligation for compensation, irrespective of the chosen medium for dissemination.
Seclusion:
As an integral part of the booking and permit procedure, we will require personal information from each client. Rest assured, your personal details will be securely retained by us, and under no circumstances will any of your private or personal information be disclosed for purposes other than those related to your trip.
Client Accountability and Conduct:
Throughout any expedition with Xtreme Climbers, our tour, trekking, or mountaineering guides serve as full representatives of our company and hold authority throughout the duration of your journey. It is imperative that clients adhere to legal and ethical standards during their participation. Any unlawful behavior will result in immediate dismissal from the tour, and no refunds will be issued in such instances. We prioritize the safety and well-being of all participants and expect mutual respect and responsible conduct throughout the expedition.
Miscellaneous:
Neither party shall be deemed to have waived any rights or remedies under these conditions or applicable laws by granting any time or indulgence or by refraining from exercising any right or remedy in response to a default by the other party. Should any provision of these conditions be deemed illegal, unenforceable, or invalid, it shall be considered severed from the conditions; however, such action shall not affect the validity or enforceability of the remaining provisions.
Governing Law:
This agreement and the rights and obligations of the parties shall be construed and governed by the laws of Nepal and the Nepal Tourism Association.
Unused or Missed Services:
Xtreme Climbers Treks & Expedition Pvt. Ltd. does not offer refunds for unused or missed services outlined and agreed upon in the purchased trip package. This includes situations such as voluntary or involuntary termination/departure from the expedition, sickness, death of a family member, late arrival, or premature departure, whether voluntary or involuntary.
Privacy:
Both Parties (Clients & Xtreme Climbers Treks & Expedition Pvt. Ltd. Company) agree to uphold the confidentiality of each other's information. Personal details provided, including email addresses, are solely used for processing inquiries, managing trips, and maintaining communication for future engagements. Xtreme Climbers Treks & Expedition Pvt. Ltd. reserves the right to utilize images captured during the trip for publicity and promotional purposes without providing compensation. Personal details and photos will not be sold or shared with any third party.
Unforeseen Situations:
In the event Xtreme Climbers Treks & Expedition Pvt. Ltd. cancels your trip due to unforeseen situations such as war, natural disasters, conflict, unfavorable climate, etc., clients will be referred to an alternative trip of a similar standard. If this does not align with personal interests, all monies paid to the company will be refunded. However, any additional expenses incurred as a result of this booking cancellation are the client's responsibility. Please note, that once the trip commences, no refunds will be provided, even in cases of natural disasters or similar occurrences.
Personal Belongings:
To ensure the safety of personal belongings during the trip, clients are advised to keep them within sight or securely stored in their room, avoiding leaving them unattended, especially in crowded or high-risk areas. While our team endeavors to safeguard belongings during the tour, trek, or expedition, we cannot be held responsible for any loss or damage. Clients should personally carry valuable items such as cameras, wallets, and passports, and consider insuring valuable possessions such as mobile phones, laptops, and cameras.
Disclaimer:
These terms and conditions apply exclusively to direct bookings made with us. Clients booking through agents or third parties are subject to their respective terms and conditions.
